LUMI·STAY Creative Spaces — Rules & Use Conditions

These Rules apply to selected creative, cultural, professional and project-based uses of LUMI·STAY creative spaces.

They apply to:

Nowolipki Creative Space
Nowolipki 27, Warsaw, Poland

Koszykowa Stage Space
Koszykowa 82B/30, Warsaw, Poland


1. Nature of the space

LUMI·STAY Creative Spaces are not standard overnight apartments and are not party venues.

They are private, curated spaces made available only by individual written agreement for selected uses, such as:

- artistic projects,
- cultural meetings,
- workshops,
- small presentations,
- showroom appointments,
- rehearsals,
- photo or video projects,
- private professional meetings,
- other uses agreed in writing.

No use is confirmed automatically. Every booking requires prior written agreement on the purpose, date, hours, number of participants, access rules, fees, deposit where applicable and responsibility for the space.


2. Prior written approval

The space may be used only for the purpose approved in writing before arrival.

The organiser must provide:

- full name and contact details;
- company or organisation details, if applicable;
- requested date and hours;
- purpose of use;
- expected number of participants;
- information about equipment, props, catering or production items;
- whether photo, video, commercial or public use is planned;
- any special access, technical or safety needs.

LUMI·STAY may refuse any request without giving a reason, especially where the proposed use may disturb neighbours, risk damage, exceed the character of the space or conflict with the rules.


3. No parties or unauthorised gatherings

The spaces are not available for parties, informal gatherings, birthdays, nightlife events, loud social events or unapproved celebrations.

The following are not allowed without prior written consent:

- parties;
- open public events;
- ticketed events;
- alcohol-led gatherings;
- dancing or nightclub-style use;
- DJ sets or amplified music;
- large private gatherings;
- meetings with more people than agreed;
- after-hours use;
- subletting or making the space available to third parties.

If the actual use differs from the approved purpose, LUMI·STAY may terminate access immediately and additional charges may apply.


4. Participants and access

Only persons included in the agreed participant number may enter the space.

The organiser is responsible for all participants, assistants, crew members, guests, contractors and any other persons admitted to the space.

Access instructions, keys and codes are private and must not be shared with unauthorised persons.

The organiser must ensure that participants respect the building, neighbours, shared areas and the rules of the space.

LUMI·STAY may require a guest list or crew list before access is granted.


5. Time of use

The agreed time includes setup, use, packing, cleaning and departure.

The space must be vacated by the agreed end time.

Overtime is possible only if confirmed by LUMI·STAY and may result in additional charges.

If the space is not vacated on time, or if the organiser’s delay affects another booking, cleaning, neighbours or building security, additional charges may apply.


6. Deposit and payment

Fees, payment terms and any deposit are agreed individually before confirmation.

A deposit may be required to secure the space against damage, excessive cleaning, missing items, unauthorised overtime, breach of rules or additional costs.

The deposit may be retained in whole or in part where documented costs arise.

Any deductions must be reasonable and connected with actual damage, cleaning, replacement, security or other justified costs.


7. Handover and condition of the space

The space is provided in the condition agreed before use.

Where appropriate, photos or a handover protocol may be used before and after the booking.

The organiser should report any existing damage, defect or missing item immediately upon arrival.

If no issue is reported at the beginning of use, the space may be considered accepted in its visible condition.

After use, the space must be returned in a clean, safe and orderly condition, unless a different cleaning arrangement has been agreed in writing.


8. Artworks, furniture and curated interiors

LUMI·STAY spaces may contain artworks, books, furniture, objects and curated interior elements.

These items are part of the character and value of the space.

The organiser and participants must not:

- touch, move, remove or reposition artworks without consent;
- lean equipment, bags, lights, tripods or props against artworks or walls;
- place food, drinks, cosmetics, tools or liquids near artworks;
- attach anything to walls, floors, ceilings, furniture or artworks without consent;
- use tape, nails, hooks, glue, pins or other fixing materials without written consent;
- clean, repair or alter any object in the space.

Any accidental damage must be reported immediately.


9. Photo, video and commercial use

Photo shoots, video shoots, commercial content creation, interviews, livestreams, advertising, product photography and brand productions require prior written approval.

Approval must specify the purpose, scope and permitted use.

The organiser is responsible for obtaining all permissions, releases and rights from models, participants, crew, brands and third parties.

The name LUMI·STAY, ORAC Gallery, A Space Gallery, the address, artworks, artist names or any identifiable interior elements may not be used in advertising, credits, tags, press materials or public promotion in a misleading way or without prior consent.

Commercial use beyond the agreed scope may require additional fees.


10. Equipment, props and technical setup

Any equipment, props, lighting, sound equipment, stands, backdrops, cables, furniture, catering items or production materials must be approved in advance.

The organiser is responsible for safe installation, use and removal of all brought-in items.

Cables must be secured safely and must not create trip hazards.

Heavy equipment must not damage floors, walls, stairs, doors, furniture or artworks.

No drilling, painting, structural change, wall mounting or alteration of the space is allowed without prior written consent.


11. Noise and neighbours

The spaces are located in residential or mixed-use buildings.

The organiser must respect neighbours, building rules and quiet use standards at all times.

Noise must be kept at a reasonable level.

Loud music, shouting, amplified sound, disturbance in staircases, gatherings outside the entrance or disruption of neighbours are not allowed.

If neighbours complain or if building rules are breached, LUMI·STAY may limit or terminate the use of the space.


12. Safety

The organiser must use the space safely and responsibly.

The following are prohibited unless expressly approved in writing and legally permitted:

- open flame;
- candles;
- smoke machines;
- pyrotechnics;
- hazardous materials;
- strong-smell substances;
- flammable liquids;
- illegal substances;
- weapons or weapon-like props;
- activities creating fire, injury or property risk.

Emergency exits, doors, corridors and access routes must remain clear.

The organiser is responsible for the safety of participants and any brought-in equipment or materials.


13. Catering, food and alcohol

Food, drinks and catering require prior agreement.

Alcohol may be allowed only if expressly agreed in writing and only in a controlled, private and responsible format.

Alcohol-led events, open bars, intoxication, disruptive behaviour and parties are not allowed.

The organiser is responsible for all spills, stains, food waste, glassware, catering waste and related cleaning.


14. Cleaning and waste

The organiser must leave the space tidy and remove all brought-in items, packaging, props, catering materials and waste unless otherwise agreed.

Additional cleaning charges may apply for:

- stains;
- spills;
- food waste;
- glitter, confetti or similar materials;
- excessive dirt;
- smoke or smell removal;
- unremoved equipment or props;
- cleaning beyond normal use.

Glitter, confetti, powders, paint, wax, liquids or materials that are difficult to clean may not be used without prior written consent.


15. Damage and liability

The organiser is responsible for damage caused by the organiser, participants, crew, contractors, guests or any person admitted to the space.

This includes damage to:

- artworks;
- furniture;
- walls;
- floors;
- doors;
- windows;
- equipment;
- textiles;
- lighting;
- keys;
- building common areas;
- neighbouring property.

LUMI·STAY may use photos, inspection notes, invoices, messages, neighbour reports, building administration notices and other documentation to assess damage or rule breaches.


16. Lost items and left property

Items left in the space after use are the organiser’s responsibility.

LUMI·STAY may store found items for a reasonable time, but is not responsible for items left, lost or abandoned unless required by applicable law.

Return, storage, courier or special handling may result in additional charges.


17. Cancellation

Cancellation rules are agreed individually for each booking.

Unless otherwise agreed in writing, cancellation shortly before the confirmed date may result in loss of prepayment, deposit or part of the fee where LUMI·STAY has reserved the space, refused other requests or incurred preparation costs.

If the organiser changes the purpose, number of participants, time, production scope or nature of the use after confirmation, LUMI·STAY may require new approval, additional fee or cancellation.


18. Termination of access

LUMI·STAY may terminate access immediately if:

- the space is used for an unauthorised purpose;
- more people enter than agreed;
- a party or gathering takes place;
- neighbours are disturbed;
- safety is at risk;
- artworks or property are at risk;
- the organiser refuses to follow instructions;
- illegal or unsafe activity occurs;
- access codes or keys are shared with unauthorised persons;
- the organiser breaches these Rules.

In such cases, fees may remain payable and additional charges may apply where justified by damage, cleaning, overtime, security measures or other documented costs.


19. Privacy

LUMI·STAY processes organiser and participant data to handle enquiries, confirm bookings, organise access, perform the agreement, protect the space and property, handle claims, complaints or damage, and comply with legal obligations where applicable.

Data may include name, contact details, company details, booking details, participant or crew lists where required, correspondence and documentation related to the use of the space.

Data is not used for marketing unless separate consent is given.

Data is retained only as long as necessary for booking, accounting, legal, claim or safety purposes.

The data subject has rights under data protection law, including access, correction, deletion where applicable, restriction, objection and complaint to the competent supervisory authority.


20. Confirmation

By confirming the booking, entering the space or continuing with the use of the space, the organiser confirms that:

- the purpose of use has been truthfully declared;
- the number of participants will not exceed the agreed number;
- the space will not be used for parties or unauthorised gatherings;
- photo, video, commercial or public use will take place only within the approved scope;
- all participants, crew members and contractors will respect these Rules;
- the organiser accepts responsibility for damage, additional cleaning, lost keys, overtime and breach of rules;
- the organiser has read and accepted these LUMI·STAY Creative Spaces Rules & Use Conditions.
